Distinguish a reserved order from a completed shipment
Stock set aside for a customer may still be physically present after an order is entered. Before the count, identify reserved, paid and dispatched orders and explain how your records treat each stage. For a store or warehouse that sends goods to another selling location, retain the transfer information too. This helps you interpret a difference without assuming a staged carton has already left the business.
Keep meaningful product differences visible
Where the distinction matters to purchasing or a buyer, similar bottles, replacement parts or packaged goods should remain identifiable by the product details your records use. For example, different bottle sizes should not disappear into a single brand quantity. Discuss itemized reporting or a hybrid approach where that detail is useful, and a separate asset scope for storage racks, sales fixtures or operating equipment.
