Reconcile receiving before judging a discrepancy
A carton can be physically present while its invoice is still waiting to be entered. The reverse can happen when an order is recorded before it leaves dispatch. Before a count intended for reconciliation, identify the timing of your book-inventory export and the receiving or dispatch records that explain movements around it.
For example, 24 filters counted against a system balance of 12 may reflect an unposted delivery rather than an unexplained overage. An itemized count provides the quantity to investigate; your invoice and movement records provide the explanation.
Give a business sale a clear merchandise boundary
When a Bakersfield store or supply operation changes hands, identify goods held for customers, vendor returns and stock belonging to another business before the count. Buyer and seller should agree how those groups are treated and which price or valuation basis applies to included merchandise.
Equipment creates a separate question: a parts bin may contain saleable stock, while the bin, counter and office computer are business property. Discuss both records together so the transfer documentation answers what was counted without mixing merchandise totals with an equipment list.
Questions about your Bakersfield count

Identify the sending and receiving locations and record the transfer time and quantity. Agree which location’s count includes the goods. A transfer that leaves one location before its count but reaches another after its count needs review so it does not disappear from both records.
Can a department total tell us which parts are missing?
A department total shows retail value for the group, so shortages and overages of different products can offset each other. If the question concerns specific parts, discuss itemized quantities and the matching product list. A hybrid count can retain department totals elsewhere while adding detail where needed.
